Privacy, Data Integrity and Security

 We value our client's confidence and trust. But  privacy extends beyond strict confidentiality. We work hard to provide our clients with state-of-the art data integrity and data security. For example, our clients benefit from the security of the Thomson Data Center for secure off-site data storage, retrieval and automated back-ups. The Thomson Data Center is QS 9000 and IBM-certified. and has 24/7/365 internal security monitoring with camera surveillance is at all entry points.

Data sent to or from our firm is encrypted to ensure safety and privacy during transmission. Our servers and employee computers are protected by secure firewalls and all computers are kept to current operating systems. All data is maintained and backed-up on a regular schedule.

Our Client's Data

  • All client data is treated as strictly confidential.
  • Access to our clients' information is limited to those employees with a business reason for using such information.
  • We continually educate our staff on  the confidential nature of this information, your needs for privacy, as well as incorporating policies and procedures for this purpose. We will never disclose our clients' information to third parties without permission.
  • We destroy all hard copies of data before disposing of it. In order to continue to provide high-quality software, we periodically utilize live data for follow-up testing. When the need for this testing is completed we destroy and dispose of the data.

 

Outside Service Providers

At times, we enter into arrangements with companies whose expertise is essential for our own services to function properly. For example, we work with specialized firms that manage services with which our products integrate. In any outside company situation, we share the information we obtain about you (as described previously) only to the extent necessary to allow these companies to perform services for us, or to provide you with products or services.

We are extremely selective when choosing outside companies to become our partners. So we require them to conform to our own strict confidentiality and privacy standards. An outside company is never allowed to sell your information, or to use it for any purpose other than providing the specific product or service we intended the company to provide.

Our clients’ privacy is important to us, and maintaining clients’ trust and confidence is one of our highest priorities. We respect our clients’ right to keep their personal information confidential and understand their desire to avoid unwanted solicitations. A recent law change requires us (along with banks, brokerage houses, and other financial institutions) to disclose our Privacy Policy to our clients - which we are more than happy to do. We hope that by taking a few moments to read it, you will have a better understanding of what we do with the information clients provide us and how we keep it private and secure.

A. Types of Information We Collect

We collect certain personal information about clients - but only when that information is provided by the client or is obtained by us with the client’s authorization. We use that information to prepare our clients’ personal income tax returns and may also use it to provide various tax and financial planning services to the client at the client’s request.

Examples of sources from which we collect information include:

·         interviews and phone calls with the client,

·         letters or e-mails from the client,

·         tax return or financial planning organizers, and

·         financial history questionnaires.

B. Parties to Whom We Disclose Information

As a general rule, we do not disclose personal information about our clients or former clients to anyone. However, to the extent permitted by law and any applicable state Code of Professional Conduct, certain nonpublic information about you may be disclosed in the following situations:

1.      To comply with a validly issued and enforceable subpoena or summons.

2.       In the course of a review of our firm’s practices under the authorization of a state or national licensing board, or as necessary to properly respond to an inquiry or complaint from such a licensing board or organization.

3.       In conjunction with a prospective purchase, sale, or merger of all or part of our practice, provided that we take appropriate precautions (for example, through a written confidentiality agreement) so the prospective purchaser or merger partner does not disclose information obtained in the course of the review.

4.      As a part of any actual or threatened legal proceedings or alternative dispute resolution proceedings either initiated by or against us, provided we disclose only the information necessary to file, pursue, or defend against the lawsuit and take reasonable precautions to ensure that the information disclosed does not become a matter of public record.

5.     To provide information to affiliates of the firm and nonaffiliated third parties who perform services or functions for us in conjunction with our services to you, but only if we have a contractual agreement with the other party which prohibits them from disclosing or using the information other than for the purposes for which it was disclosed. (Examples of such disclosures include using an outside service bureau to process tax returns or engaging a records-retention agency to store prior year records.)

C. Confidentiality and Security of Nonpublic Personal Information

Except as otherwise described in this notice, we restrict access to nonpublic personal information about out clients to employees of our firm and other parties who must use that information to provide services to our clients. Their right to further disclose and use the information is limited by the policies of our firm, applicable law, our Code of Professional Conduct, and nondisclosure agreements where appropriate. We also maintain physical, electronic, and procedural safeguards in compliance with applicable laws and regulations to guard clients’ personal information from unauthorized access, alteration, or premature destruction.
